About the Position
KCG is seeking a highly experienced Senior Executive Administrative & Operations Coordinator to provide comprehensive support to our Managing Director and directors while managing key operational and office management functions across the firm.
This individual will serve as the right hand to leadership — anticipating needs, organizing complex priorities, and keeping the firm running smoothly day-to-day. The ideal candidate is proactive, professional, and thrives in a fast-paced, dynamic environment where they can bring structure, organization, and foresight to everything they do.
This role is best suited for a senior-level Executive Assistant who excels at balancing multiple responsibilities, can navigate ambiguity with confidence, and consistently delivers with precision and polish.
Qualified Candidates Must Possess
- Executive Support Excellence: 5–8+ years of experience supporting senior leaders [Managing Director, C-suite, or partners] in a consulting, professional services, or healthcare environment
- Operational & Office Management Experience: Proven ability to oversee vendor management, office logistics, internal meeting coordination, and administrative systems
- Exceptional Organization & Prioritization: Demonstrated ability to manage multiple tasks and competing priorities in a fast-moving environment with minimal oversight
- Strong Financial Acumen: Comfort with basic financial concepts such as reviewing invoices, monitoring expenses, reconciling budgets, and calculating cost differences or percentage increases [e.g., lease escalations, vendor rate changes]
- Proactive Problem-Solving: Anticipates needs, identifies challenges early, and independently drives solutions
- Strong Communication & Professional Presence: Outstanding written and verbal communication skills, with a polished, client-ready style
- Judgment & Discretion: Handles confidential and sensitive information with utmost professionalism
- Adaptability: Comfortable navigating ambiguity, frequent context shifts, and high expectations from senior leadership
- Collaborative Mindset: Works effectively across teams and with external stakeholders, fostering a positive, solutions-oriented environment
Education
Bachelor’s degree preferred in Business Administration, Communications, or related field — or equivalent experience supporting senior executives in a professional services setting.
Technical Skills
- Advanced proficiency in Microsoft Office Suite [Outlook, PowerPoint, Excel, Word]
- Experience with virtual collaboration tools [Teams, Zoom, SharePoint, etc.]
- Comfortable managing expense systems, vendor portals, and light reporting or tracking tools
- Tech-savvy and eager to learn new tools that improve efficiency and organization
